What to watch out for...

In the current economic climate there is an even greater need to ensure that all employees are clear of the organisation’s direction and how they, as individuals, have a part to play in the future success of the company. So, for all those companies that have had annual conferences in previous years but are thinking of postponing them this year, I suggest…THINK AGAIN!

I have been organising conferences and events for 20 – 2000 participants at both a national and an international level, for over eight years. So, I would like to take this opportunity to share some top tips on how to make your conference not only cost effective, but also inspirational in this challenging economic climate. I will also provide you with an insight into all the services we offer that would aid the smooth running of your event.

My ears are ringing with the most used word in the events industry…Budget, Budget, Budget. Following my simple tips below will produce both a cost effective and highly successful conference…

1. Choose unusual venues or places: For example Marrakech isn’t affected by the strong Euro so it’s great value for money, plenty of low cost flights with a short travel time and as Morocco is on GMT no jet lag.

Alternatively, why not have your conference at one of the many theme parks around the UK, one advantage is free entry into the park after your conference has finished – a ready made team activity!

2. Use hotels in historic cities, this then allows easy access to the town for team building events that do not require the hire of hotel grounds.

3. Have one longer day rather than two days: Spend a bit of time making the information you want to communicate concise, vary the way you relay this to your audience so that delegates enjoy one longer and productive day rather than two often more costly days.

4. If you’re pushed for time, but would still like to incorporate some team exercises, try ice breakers or team development tasks to help break up the day’s conference.

5. Lose all the collateral: The amount of time and cost that goes in to printing all the collateral before an event can be cut by combining the welcome pack and timetable into a PDF before the event and emailing this to all the delegates.

6. If you haven’t before, try working with an events company to help arrange and manage the event. Apart from saving you time and money our experience will help you avoid any unforeseen issues and you will also tap into an extra set of creative minds to give your event the edge.
